Today, I want to talk about one of the most common challenges we face in our profession—balancing a heavy case load.

The Art of Prioritization

Learning how to prioritize is one of the hardest things to do in case management. I remember when I worked as an acute inpatient case manager, I would often feel overwhelmed by the number of tasks that demanded my attention. However, I discovered a method that significantly helped me manage my workload more effectively.

At the end of each day, I made a list of the most important things I needed to get done the next day. This was my “you cannot leave until these are done” list. It focused primarily on patients who were discharging and those who had just been admitted. For example, I made sure therapy or equipment was set up for someone about to discharge or ensured that mandatory family training or education sessions for recently admitted patients were scheduled and confirmed.

Practical Tips for Managing Your Case Load

1. Make a Priorities List

Make it a habit to create a list of priorities for the next day before you leave work. This simple practice ensures that you don’t forget anything crucial and helps you hit the ground running the next morning. Here’s how you can do it:

  • Identify Key Tasks: Focus on tasks that have immediate deadlines or significant impact, such as discharge planning and admission protocols.
  • Break Down Tasks: Larger tasks can be overwhelming, so break them down into smaller, manageable steps.
  • Set Clear Deadlines: Assign deadlines to each task on your list to keep yourself accountable.

2. Flexibility is Key

While having a list is essential, flexibility is equally important. Unexpected situations will always arise, and you need to be able to adapt without losing sight of your priorities.

  • Reassess Throughout the Day: Take a few moments to reassess your list during lunch or mid-afternoon. Adjust it as necessary to accommodate new priorities.
  • Communicate Clearly: If certain tasks need to be deferred, communicate this with your team and ensure everyone is on the same page.

3. Don’t Beat Yourself Up

One of the biggest lessons I’ve learned is to not beat myself up if some things are left undone by the end of the day. The nature of our job is such that it will never truly be “finished.” The goal is to tackle the most important tasks and ensure nothing critical is missed.

  • Celebrate Small Wins: Acknowledge the tasks you have completed, no matter how small they may seem. Every step forward is progress.
  • Reflect and Adjust: At the end of the week, take some time to reflect on what worked well and what didn’t. Use these insights to improve your prioritization strategies.

4. Use Technology Wisely

Leverage technology to streamline your processes. There are numerous case management software options that can help you keep track of tasks, deadlines, and patient information.

  • Automate Routine Tasks: Use software to automate repetitive tasks, such as appointment reminders or follow-up calls.
  • Centralize Information: Keep all your patient information and case notes in a centralized, easily accessible location to save time and avoid confusion.

5. Delegate When Possible

Don’t hesitate to delegate tasks when appropriate. Effective delegation can significantly lighten your load and allow you to focus on higher-priority tasks.

  • Identify Delegable Tasks: Determine which tasks can be delegated to other team members or assistants.
  • Trust Your Team: Trust in the capabilities of your colleagues to handle the tasks you delegate to them, and provide clear instructions to ensure proper execution.
